The cost of scattered orders
When orders live in three admin panels, fulfillment becomes a copy-paste job with a memory requirement. Someone checks the webshop, someone else watches the marketplace, the register slips are collected at closing, and each order is retyped or forwarded toward the warehouse. Every handover is a chance to lose one, double-ship one or promise stock that a different channel sold an hour ago.
Order management software collapses the panels into one queue. An order placed anywhere appears in the same list within seconds, already reserved against the shared stock number, with a status that everyone — owner, packer, customer service — reads the same way: new, picking, packed, shipped.
The path of an order
Arrival and reservation
The moment an order lands, its lines are reserved against live stock so the same unit cannot be promised twice. If a line cannot be covered, the order is flagged before work starts rather than at the packing table.
Picking
Orders become pick lists — individually or batched into one pass through the aisles — with each line carrying its bin address. The picker confirms every item with a scan, and a wrong item is refused on the spot. How routes and bins work is covered on the warehouse management page.
Packing and labeling
At the station the order is verified once more, live rates from the connected carriers are compared, and the label prints with one tap. Weights, addresses and customs fields are filled from the order, not retyped.
Shipping and follow-up
Tracking goes to the customer and back to the channel automatically. Returns come in through the same system, so a refund or exchange adjusts stock the moment the item is scanned back in.
The exceptions, handled
Real order flow is mostly exceptions. A customer wants two of something with one left in stock; a supplier ships directly for a product you never hold; a big buyer orders ahead of a delivery that is still on the water. The system treats these as first-class cases: backorders tie order lines to incoming purchase orders and release automatically at receiving, split shipments let available lines go out today, and drop shipments route the supplier without the goods touching your floor. Nothing lives in anyone’s head.
What the numbers tell you
Because every order carries timestamps through every status, the reports answer questions that used to be arguments: how long from order to shipment this month, which channel grew, which products get returned, where the queue piles up on Mondays. Fulfillment stops being a feeling and becomes a dashboard — the same live data that runs your inventory.
Frequently asked questions
What is order management software?
It is the system that carries an order from the moment it is placed to the moment it ships: gathering orders from every sales channel into one queue, reserving stock against them, generating pick lists, guiding packing, printing shipping labels and sending tracking to the customer, with a clear status visible at every step.
How do orders from different channels end up in one place?
Shopify, WooCommerce and Magento connect natively and push orders in as they are placed; marketplaces are supported, the register feeds the same queue, and the API covers anything custom. Each order arrives already matched to the shared stock record, so availability is checked before anyone starts picking.
What happens when an item is out of stock?
The order can be placed on backorder and tied to an incoming purchase order, split so available lines ship now, or routed as a drop shipment straight from the supplier. In every case the status is explicit, so customer service answers from the screen instead of walking to the shelf.
Can customers see where their order is?
Yes. When the label prints, the tracking number is sent to the customer automatically and posted back to the sales channel, so the parcel is traceable from the moment it leaves the packing station.
